At MATE.BIKE INTERNATIONAL ApS (”MATE”, ”we”, ”us” or ”our”) we value your right to privacy. This policy describes how we process personal information about applicants and job candidates for positions at MATE and contains the information we are obliged to provide in accordance with Regulation (EU) 2016/679 (”GDPR”) and the Danish Act number 502 of 23 May 2018 (the Danish Data Protection Act, or “DDPA”).

When you apply for a job or are a candidate for a position at MATE, we process personal information about you for the purpose of ensuring what we believe is the best match between job candidate and the position at MATE, based on an assessment of factors such as aspirations, skills, competencies and personality as compared to the needs and business culture of MATE.
What do we process?
Our processing of personal information about you for this purpose includes:
- Your name and contact information, including postal address, email address and telephone number
- Information on your educational background, including diplomas
- Information on your working experience, including appraisals and other statements from current and prior employers, which you may have shared with us
- Results of skills tests and personality tests
- Any other information you may provide in your application, CV or otherwise during the recruitment process.
The legal basis for the processing is:
- GDPR article 6(1)(a) for the disclosure of information by your references
- GDPR article 6(1)(b), as the processing is necessary in order for us to take steps prior to entering into a contract with you
- GDPR article 6(1)(f), as the processing is necessary in order for us to pursue our legitimate interest in selecting what we believe are the best candidates for positions with MATE.
Retention and deletion of information
If the recruitment process does not lead to an employment relationship between you and MATE, we will delete your personal information no later than 6 days from the end of the month, where we informed you that we will not offer you a position, or where you turned down a contract proposal from us.
We may ask for your consent to retain your information for an extended period of time and will then retain the information in accordance with your consent. You may withdraw such consent at any time, in which case we will delete the information without undue delay.
Notwithstanding the above, we may retain your personal information for longer, if this is necessary in order for us to comply with a legal obligation, or to establish, defend or exercise legal claims.
Recipients of personal information
We may disclose your personal information to group companies, as well as external advisors supporting us in the recruitment process.
Furthermore, we may also make personal information available for companies supporting our business in the role of data processors – typically suppliers of IT-systems or IT-operations and other types of business services.
Transfer of personal information to countries outside EU/EEA
We do not transfer personal information to countries outside the EU/EEA as part of the recruitment process. Should the need to do so occur in special situations, we will ensure to take the necessary steps to ensure that such transfers will take place in accordance with the requirements set out in GDPR chapter V.
You have the following rights as a data subject:
- Right to Information. You have the right to ask us what kind of data we process and why we need it.
- Right of Access. You have the right to obtain access to the personal information we process about you.
- Right to Rectification. You have the right to have personal information that we hold about you rectified.
- Right to Erasure. In special circumstances, you have the right to have personal information about you erased, before the time for our ordinary erasure.
- Right to Restriction of Processing. In certain cases, you have the right to have the processing of your personal information restricted. If the right applies, we may then only process the personal information – except for retention – with your consent or for the establishment, exercise or defense of legal claims or for the protection of the rights of another person or for reasons of important public interest.
- Right to Data Portability. In certain cases, you have the right to receive a copy of the personal information you have provided in a structure commonly used and machine-readable format.
- Right to Object. You have the right to object to our processing of your personal information for marketing purposes or on grounds relating to your particular situation. If you do so, we will cease the processing, unless we can justify that our legitimate interests override your interests, rights and freedoms, even after duly taking your particular situation into consideration, or the processing can be based on an alternative legal basis.
- The Right to Avoid Automated Decision-Making. You have the right to request that decisions based on automated processing concerning you or significantly affecting you and based on your personal information are made by natural persons, not only by computers. You also have the right in this case to express your point of view and to contest the decision.
Where the processing of your personal information is based on your consent, you have the right at any time to withdraw consent. Withdrawal of consent will not affect the lawfulness of the processing up to the point in time, where the consent was withdrawn.

Please be aware that certain limitations and exemptions apply to some of the rights. Therefore, we are not necessarily obliged to meet your request in all situations.
You do, however, have an unconditional right to file a complaint with a supervisory authority – in Denmark that would be Datatilsynet – if you believe that our processing of your personal information is in conflict with applicable data protection legislation.
